How to Follow Up With Leads on WhatsApp After They Fill a Form

Most leads don't convert on first contact. Here's a proven WhatsApp follow-up sequence to nurture leads from enquiry to paying customer.

Why Most Leads Don't Convert on First Contact

When a customer fills your WhatsApp form and you respond immediately, what percentage do you think convert on that first reply?

For most service businesses, it's 10–20%. The rest are:

  • Still evaluating you vs competitors
  • Waiting for budget approval
  • Busy right now and will decide later
  • Interested but not urgently

    The WhatsApp Follow-Up Sequence (3 Messages)

    Message 1: The Immediate Response

    Send this within 5–15 minutes of receiving the form submission.

    Template:

    > "Hi [Name]! Thanks for reaching out about [service]. Based on your requirement — [repeat their stated need] — I have [relevant offer].

    > Would you like to [next step: schedule a call / see pricing / book a slot]?"

    Keep it personal, specific to what they said in the form, and with a clear next step.

    Message 2: The Value Follow-Up (24 hours later, if no reply)

    > "Hi [Name], just following up on your enquiry about [service]. In case it helps, [one specific value point or relevant piece of info — e.g. 'We have slots available this weekend' or 'We recently helped a [similar client] achieve [result]'].

    > Happy to answer any questions — what's on your mind?"

    This message provides value (not just another nudge) and opens a door for questions.

    Message 3: The Last Attempt (72 hours after Message 2)

    > "Hi [Name], I wanted to check in one last time. If you're still looking for [service], I'm happy to set aside 10 minutes for a quick call this week. Just let me know a time that works.

    > If the timing isn't right, no worries — feel free to reach out whenever you're ready!"

    This message is low-pressure and leaves the door open. Sometimes leads come back weeks or months later because of this final message.

    What Not to Do

  • Don't send the same message twice — it signals you're not paying attention
  • Don't follow up more than 3 times without a response — it becomes spam
