How to Track Your WhatsApp Leads From New to Won — Status and Notes in the Responses Tab

A lead you can't track is a lead you forget. Here's how to use statuses, notes, and filters in WhatsLead's Responses tab to keep every enquiry moving.

The Problem With Chats as a Filing System

Enquiries land in WhatsApp neatly, but after twenty of them the questions start: who did I already call? Who said "I'll think about it"? Who is actually ready to buy? A chat list can't answer that. A simple status on each lead can.

What You Get in the Responses Tab

On WhatsLead Pro, the Responses tab keeps a copy of every submission. Each row now carries a status:

  • New — just came in
  • Contacted — you've replied or called
  • Qualified — genuinely interested and a fit
  • Won — they bought or booked
  • Lost — not happening
  • Change a status from the dropdown on any row. Every change is logged automatically in that lead's history.

Add Notes That Future You Will Thank You For

Click any row to open it. On the left you see the full, untruncated answers. On the right is a notes box and a timeline. Jot down what matters:

  • "Asked for a callback after 6 pm"
  • "Wants the larger package, waiting on budget approval"
  • "Referred by Priya — give a priority reply"
  • Notes and status changes sit together in one timeline, so you can see the whole story of a lead in seconds.

Filter to See What Needs Action

Above the table you'll find chips for every status with a live count — for example Contacted · 12. Click one to see only those leads. A good daily rhythm:

  • Open New — reply to everyone still unanswered.
  • Open Qualified — follow up on anyone who has gone quiet.
  • Glance at Won and Lost at the end of the week to see how you did.
  • Search, Dates, and Export

The search box and date range still work on top of status filters, and Export CSV now includes the Status column — handy for a weekly review or sharing with a partner.

    Prefer the Plain Table?

Next to the Reload button there is a CRM On/Off switch. Turn it off and the Responses tab goes back to a simple table. Nothing is deleted — your statuses and notes are kept, and they reappear when you switch it back on.

    Keep It Simple

You don't need a heavy CRM to stop losing leads. Five statuses and a notes box, checked once a day, are usually enough to turn scattered chats into a pipeline.
