How to Use WhatsApp Forms for Customer Feedback and Reviews

Collecting feedback via email gets 2% response rates. Via WhatsApp? Up to 40%. Here's how to build a feedback form that customers actually fill out.

The Feedback Problem Every Business Has

You serve a customer. You want to know if they were happy. You send an email asking for feedback.

They never open it.

WhatsApp changes this completely. It has a 98% open rate. If you share a feedback form via WhatsApp, customers actually see it — and many will fill it out.

Building Your WhatsApp Feedback Form

The 5-Field Feedback Form Template

Field 1: Overall Rating (Radio)

Options: ⭐ Poor / ⭐⭐ Average / ⭐⭐⭐ Good / ⭐⭐⭐⭐⭐ Excellent

Field 2: What did you like most? (Text)

Keep this optional — let them share if they want.

Field 3: What can we improve? (Text)

Optional — your most valuable feedback.

Field 4: Would you recommend us? (Radio)

Yes, definitely / Maybe / No

Field 5: Your Name (Text)

Optional — some customers prefer anonymous feedback.

How to Send It

After serving a customer, simply send them this message on WhatsApp:

> "Hi [Name], thank you for choosing us! 🙏 We'd love to hear how your experience was — takes just 30 seconds: [your form link]"

The link opens a clean form in their browser. They fill it, tap Send, and you receive their feedback on WhatsApp instantly.

Using Feedback to Get Google Reviews

When a customer gives a rating of 4 or 5 stars, follow up immediately:

> "Thank you so much! 😊 Would you mind leaving us a quick Google review? It really helps us grow: [Google review link]"

This two-step process (WhatsApp form → Google review request) is one of the most effective ways to build your online reputation.

What to Do with Feedback

  • Track patterns: If 5 customers mention the same issue, fix it
  • Share positive feedback with your team — it boosts morale
  • Reply to every negative response — shows you care and often recovers the customer
  • Use testimonials from positive feedback in your marketing (with permission)
  • Automating Feedback Collection

    Create a standard procedure:

  • Order/service completed → 24 hours later → send WhatsApp feedback form
  • Positive response → send Google review request
  • Negative response → owner personally calls the customer
  • This system turns every transaction into either a loyal customer or a recovered one.
